Their files, sorted
before you need them

Someone leaves and you inherit years of folders named “New folder (3)”.

The short answer

What should you do with a departing employee’s files?

Before their account closes, have IT transfer the files to a manager or successor. Then pull out signed agreements and open commitments first, sort the rest by client or project and document type, and keep drafts apart. Set aside anything personal for a decision under your company policy, and keep a copy of the original folder untouched.

  • Move ownership before the account is closed
  • Signed agreements and open promises come first
  • Sort by client or project, not by the leaver’s name

The problem

They knew where everything was. Now you have to.
Handover notes are a page long. The folders go back six years.

A client calls on your second day.

They want the signed proposal and the price you agreed. You find four files called “proposal”, two of them “FINAL”, none of them clearly the signed one.

Re: 2026 pricing, sent 4 May 2026

Happy to confirm 12% off list price on all lines until 31 March 2027. Priya

thread export 0504.pdf

The promise is in a sentence nobody would search for.

The discount, the delivery date, the free extra month. People agree these in emails and meeting notes, then save them as PDFs with names like “thread export”.

Then the account is gone.

Many workplaces close a leaver’s account after a set time. If nobody moved the files first, a year of work can disappear with it, and the first sign is a client asking for something nobody can find.

An unsorted handover costs more than time.

Clients repeat themselves, promises get broken because nobody knew they were made, and the successor starts their job looking unprepared.

How it works

Upload the folder you inherited. Filex makes sense of it.

Download a copy from wherever it lives, upload it, and tell Filex how you want it sorted.

01

Upload a copy of their folder

Download the leaver’s files from your company drive and upload them to Filex. The original folder stays where it was, untouched.

02

Filex reads and sorts every file

It reads each document, works out the client or project and the type, gives it a clear name with a date, and files it. Signed copies are kept apart from drafts.

03

Ask what you need to know

Ask “what did Priya agree with Acme Foods?” or “which quotes are still open?” and Filex replies from the documents, naming the one it used.

What you get

Someone else’s years of work,
sorted in an afternoon.

Every client and project gets its own place, the signed versions are easy to spot, and the promises made along the way can be found by asking.

Clients & contacts

Every file linked to the client, the contact there, and who on your side was involved.

Filex reads names from each document, so you learn who the leaver dealt with and who else was copied, without asking around.

Filex only sorts the copy you upload. Your company drive and the leaver’s original folders are not touched.

Ask Filex for a client, for signed documents only, or for what changed recently, and it gathers the matching files from the whole folder.

Complete guide

The complete guide to taking over a departing employee’s files

The first week: what to pull out of a leaver’s files first

Not every file matters equally. Start with anything that binds the company: signed agreements, accepted quotes, purchase orders, and messages where a price, date or discount was confirmed. Those are the documents a client or supplier will hold you to, and they are the ones you need to find before the phone rings.

Next, look for anything that should not sit in a shared folder at all. Passwords saved in documents should go to IT to be changed. Personal files, such as payslips, medical letters or family photos, should be set aside and handled under your company policy and the privacy rules where you operate, rather than read or redistributed.

  • First: signed agreements and confirmed prices or dates
  • Second: open quotes, orders and promised follow-ups
  • Set aside: passwords for IT, personal files for HR

A folder plan for inherited work

Do not keep the leaver’s name as the top folder. In a year, nobody will remember who “Priya’s stuff” belonged to, and her clients will be split from the rest of your files about them. Sort by client or project first, then document type, and merge into the folders the team already uses.

Keep one holding folder, like “Unsorted from Priya”, for files that do not obviously belong anywhere. Name everything with a date, the client and the type, so 2026-01-Acme-Foods-Proposal-Signed.pdf makes sense to whoever finds it next, including the person after you.

  • Level 1: client or project, shared with the rest of the team
  • Level 2: Agreements, Quotes, Orders, Notes
  • Holding folder for leftovers, reviewed once and then emptied

If they have not left yet: the handover questions that save weeks

A good handover is a short conversation, not a long document. Ask what is promised but not delivered, which clients expect a call soon, and where the signed version of each live agreement is. Those three answers cover most of the surprises successors run into.

Ask which drafts are dead, too. Leavers know which “final v3” was abandoned, and five minutes of their time can save you from sending a client the wrong price. Write the answers down in the client folders themselves, not in a separate handover file that gets lost.

  • What have you promised that is not done yet?
  • Where is the signed copy of each live agreement?
  • Which drafts should be ignored or deleted?
  • Who are the contacts I should introduce myself to first?

How teams usually handle a leaver’s files

Most company drives let an administrator move a leaver’s files to a manager before the account is closed. That keeps the files, but it keeps the mess too: the manager receives one big folder with the same names it had before, and it often sits unopened until someone needs something from it.

Other teams zip everything into an archive folder named after the leaver, or ask the successor to sort it as they go. Filex sits after the transfer step: download the folder you were given, upload it, and it reads and sorts the contents so the archive becomes a working set of client folders.

  • IT transfers ownership to the manager in the admin console
  • A zipped archive named after the leaver, rarely opened again
  • The successor sorts files one by one as requests come in

What Filex can’t recover from someone’s old account

Filex does not connect to a coworker’s account, mailbox or company drive. It works with the files you download and upload, so anything that was deleted, or never moved before the account closed, is outside its reach. Ask IT about recovery options for those.

It does not manage access rights or offboarding, and it does not decide what happens to personal data. It reads and sorts documents; choices about who may see a leaver’s files, and what must be returned or removed, belong to your HR and IT teams.

Frequently asked questions

Answers about their files, sorted before you need them

What should I do with a departing employee’s files?

Have IT move them to a manager or successor before the account closes. Then find signed agreements and open commitments first, sort the remaining files by client or project and type, and set personal files aside for HR. Keep an untouched copy of the original folder in case questions come up later.

How do I organize files I inherited from a coworker?

Sort them into the client or project folders your team already uses, not into a folder named after the coworker. Give each file a date, the client and the document type in its name, and keep a single holding folder for leftovers you can review once.

Who should own a departing employee’s files?

Usually their manager or the person taking over their work. Ownership should be moved before the leaver’s account is suspended or deleted, because many systems remove files along with the account after a set period. Ask IT to make the transfer part of every offboarding checklist.

What should I ask an employee before they leave?

Ask what they have promised but not delivered, where the signed copy of each live agreement is, which drafts are abandoned, and who you should contact first. Note the answers in the relevant client folders so they stay with the work rather than in a separate handover note.

What should happen to a former employee’s personal files?

Set them aside without reading them and pass the decision to HR. Payslips, medical letters and photos can be personal data, and how long you may keep them or whether they must be returned depends on your policy and local privacy law.

Will Filex change the files in our company drive?

No. Filex organizes the copy you upload, giving those files new names and folders. The original folder in your company drive stays exactly as the leaver left it, which is useful if you need to check what was there or where something was first saved.
