Know when loan
documents expire

A loan can sit in processing long enough for a paystub or a credit report to age out.

The short answer

How do you track loan document expiry?

Write down the date on every paystub, bank statement and credit report as it comes in, and take each age limit from your lender. Once a week, check the oldest documents and ask for fresh copies early. Filex reads each page’s date, so you can ask for paystubs older than 30 days.

  • Record the document date, not the day it arrived
  • Take each age limit from your lender or investor guidelines
  • Review a list of the oldest documents every week

The problem

Is anything in my pipeline about to go stale?
You should not need to open forty folders to find out.

Dana Brooks · Borrower

I sent my paystub back in September. Is that still okay to use?

The loan moves slowly, and the paper keeps aging.

A paystub that looked fine at application is a few weeks older by the time the file reaches underwriting. Nobody notices until someone checks the date.

Priya Nair · Underwriter

The bank statement in this file is too old. Need the latest before we can clear it.

Then the underwriter asks for the newer one.

The condition comes back on a Friday afternoon. Now you are writing to a borrower who thought they were finished.

And the checking is all in your head.

You keep a mental list of whose documents are getting old. It works until you have twenty loans open at once.

If stale documents are found late, borrowers are asked for the same paperwork twice and closing dates slide.

A short weekly check costs far less than a delayed loan.

How it works

Upload the file. Filex reads every date, so you can ask what is aging.

You know how old each type of document may be. Filex reads the date on each page so you can ask for anything older than that.

01

Upload loan documents as they arrive

Drop in PDFs, scans and phone photos of paystubs, statements and credit reports. No renaming or sorting first.

02

Filex reads the date and the document type

It finds the pay date, statement date or report date on the page, and names the file with it. Dates it cannot read clearly are worth a quick look yourself.

03

Ask each week what is getting old

Ask “paystubs older than 30 days” or “credit reports older than 45 days” and see each match with its loan and its date.

What you get

Every document dated,
so aging ones stand out.

Every document carries the date Filex read from it, so the oldest paper in your pipeline is one question away.

Dates & loans

Each document keeps its own date, linked to the borrower and the loan.

Filex reads the date printed on the page and the borrower it belongs to. Ask about one borrower to see the date on each of their documents.

The oldest documents, gathered by type or by loan.

Ask for “paystubs older than 30 days” or “everything dated before September on the Nguyen loan”. Filex collects each match from the files you have uploaded.

Complete guide

The complete guide to tracking loan document expiry

Set up folders so age is easy to see

Filing by loan is useful, but it hides age. To watch freshness you also want a view by document type, because the rule that matters is how old a paystub or a credit report is, not which loan it sits in.

Keep the loan folder as your home for each file, and keep a simple list that groups documents by type with their dates beside them. The oldest type-and-date pairs are the ones to look at first.

  • One home per loan, so nothing is duplicated
  • A view by type: income, assets, credit
  • Sort each view with the oldest date at the top

Which date on the page counts for each document

Each loan document carries more than one date. A paystub shows a pay date and a pay period end, a bank statement shows a statement date and a period end, and a credit report shows the date it was pulled. Agree which one your lender counts, and use it every time.

Start the file name with that date, then the type and the borrower, so a list sorted by name is also sorted by age. Investor guidelines often count age up to the note or closing date, so check how yours does it.

  • Pattern: 2026-09-18-Paystub-Brooks.pdf
  • Bank statements: the period end date, not the day you downloaded it
  • Credit reports: the pull date, not the date of the application

Deciding how old is too old

Lenders and loan programs differ on how recent income, asset and credit documents must be, and the limits often change with the loan type. Check your own lender or investor guidelines, and do not rely on a rule of thumb from another shop.

Once you know your limits, write them down per document type and count from the document date to the expected closing date, not to today. A paystub that is fine now may be too old by the time the loan is reviewed.

  • One written limit per document type
  • Measure against the closing date, not today
  • Ask borrowers for refreshed copies in one batch each week, so they are asked only once

Tickler sheets, loan system or Filex?

Most processors keep a tickler sheet with one row per loan and a TODAY() formula that colors a cell when a date passes. Some use the condition dates in their loan origination system, and others set Outlook reminders for each borrower.

All of these depend on someone typing each date in, and a missed row is the one that goes stale. Filex reads the date from each uploaded page, so once a week you ask which documents are older than your number and it lists them.

  • Tickler sheet: free and familiar, but every date is typed by hand
  • Loan system conditions: good for tracking what was requested, not for reading dates off pages
  • Filex: reads the date from each upload and answers the question you ask each week

What this won’t do with your loan document dates

It reads and lists dates. It does not know your lender’s limits, decide whether a document is acceptable, or contact the borrower for a new one. It sends no reminders on its own: you ask, and it answers.

Filex needs a readable date on the page. A blurry photo or a statement with no printed date may not be dated correctly, so check those yourself. It works only from files you have uploaded.

Frequently asked questions

Answers about know when loan documents expire

How do I know when a loan document is too old?

Compare the date printed on the document with the age limit your lender sets for that type, counted to the expected closing date. Filex reads the printed date, so you can ask for every document older than your number.

How long are paystubs and bank statements good for in a mortgage file?

It depends on the lender and loan program. Paystubs are often counted at around 30 days and statements at about two months, but confirm yours in your investor guidelines. Then ask Filex for documents older than that.

How can I track credit report expiration for several loans at once?

Record the pull date for each report and apply your lender’s limit. Filex reads the pull date from each uploaded credit report, so you can ask for every report older than a number of days across all your open loans.

Can I get a weekly list of documents that need refreshing?

Yes, if you ask for it each week. Ask Filex for paystubs, statements or credit reports older than your limit and it lists them with the loan and the date. It does not send the list on its own.

What if a document has no readable date?

Filex needs a readable date on the page. A blurry photo or a statement with no printed date may not be dated correctly, so check those yourself and ask the borrower for a clearer copy if needed.

Will Filex change the files I upload?

Your documents stay intact. Filex may rename a file to include its date and group it, but it never edits what is written on the page, so the original content is exactly as the borrower sent it.
