Organize loan files
by borrower

Borrowers send paystubs, bank statements and IDs in a dozen different ways.

The short answer

How do you organize mortgage loan files?

Make one folder for each loan, named by the borrower and the loan number, like Rivera-LN4471. Keep every document for that loan inside it, and start each file name with the date and what the document is, like 2026-05-10-Paystub.pdf. That way anyone on your team can open a loan and see what is there and what is missing.

  • One folder per loan, named by borrower and loan number
  • Date first in every file name, so documents sort in order
  • Compare the folder to your checklist to see what is still missing

The problem

What is still missing on this loan?
You should be able to answer that in a few seconds, not a few emails.

Documents arrive in pieces, from everywhere.

Email, a portal, a text message photo. Half of them are named “scan” or “IMG”, and none of them say which loan they are for.

Alex Kim · Underwriter

I need the most recent bank statement for the Rivera loan today.

Then the underwriter asks for something again.

You know the borrower sent it. You just cannot find it, so you ask them to send it a second time.

And the closing date slips.

Every day spent chasing a document you already have is a day the loan does not move.

Borrowers get frustrated when they are asked twice, and loans that stall can fall through.

The paperwork should never be the reason.

How it works

Tell Filex how a loan file is set up. It files every document.

Describe your folder rule once in plain words. Filex reads each document and files it under the right loan.

01

Upload what the borrower sends

Drop in PDFs, scans and phone photos as they arrive. They do not need to be named or sorted first.

02

Filex reads and files each document

It finds the borrower and loan number on the page, names the file with the date and document type, and files it under that loan.

03

Open a loan and see everything

Ask for “everything for the Rivera loan” and get every document in one place, ready to check against your list.

What you get

Every loan file complete,
without the chasing.

Documents land in the right loan folder, and you can see everything about a borrower by asking.

Borrowers & loans

Every document filed under its loan, linked to the borrower and the property.

Filex reads the borrower, loan number and property address on each document and links them. Open a borrower to see their whole file.

Groups

Every document for a loan, or a type of document, in one place.

Ask for “everything for the Rivera loan” or “all appraisals this month” and Filex gathers every match into one group. New documents join as they arrive.

Complete guide

The complete guide to organizing mortgage loan files

The folder setup for a loan file

A loan is the unit of work, so it should be the unit of your folders. One folder per loan, named by the borrower and the loan number, so you can find it by either.

Keep it flat. Inside the loan folder, you do not need a maze of subfolders. A clear file name does the same job and is much harder to get wrong. The one exception is a separate Conditions folder, so underwriting items do not bury the core documents.

With co-borrowers, use one folder under the primary borrower and the single loan number, and name the second borrower in the file, like 2026-05-10-Paystub-Rivera-Jose.pdf.

  • Folder name: borrower and loan number, like Rivera-LN4471
  • Every document for that loan inside, plus an optional Conditions subfolder
  • Closed loans moved to an archive folder by year

How to name loan documents

Put the date first, then what the document is. Year, month, day order means files sort correctly everywhere, and you can see at a glance which paystub is the newest.

Use the document’s own date where it has one, like a statement date, not the date you received it. That is the date an underwriter cares about.

  • Pattern: 2026-05-10-Paystub.pdf
  • Use plain names: Paystub, Bank-Statement, W2, Appraisal, ID
  • Never use names like scan, final or new
  • Several months of statements: add the month, like 2026-04-Bank-Statement.pdf

How to see what is missing from a loan

Keep a checklist for the loan type, then open the folder next to it. Anything on the checklist that is not in the folder is what you still need.

Because every file starts with a date and a type, you can also see when something is out of date, like a bank statement that is older than your lender allows.

How people usually automate this

Most processors start with a loan folder template and a conditions checklist. It works until you have many loans open at once and every borrower sends documents differently.

The next step is a rule that files each document by itself when it arrives. That can be an email rule or a no-code workflow tool you keep running. Or you can describe the rule in plain words and let Filex read each document and file it.

  • By hand: a copied loan folder template and a conditions checklist, filled in per borrower. Free, but slow with many files open
  • Email rules or a no-code workflow tool: drops attachments in a folder, but cannot read the loan number on a scan
  • Plain-words rule in Filex: say “file by borrower and loan number” once, then check the result

What this won’t do with your loan files

It files documents. It does not decide whether a document is acceptable, check a borrower’s figures, or message the borrower to ask for more. It also needs the borrower’s name or loan number to be readable on the page, so a document without either may need a quick look from you.

It files documents from the day you turn it on. Cleaning up your older loans is a separate job.

Frequently asked questions

Answers about organize loan files by borrower

How should I organize mortgage loan files?

Make one folder per loan, named by the borrower and the loan number, like Rivera-LN4471. Keep every document for that loan in it, and start each file name with the date and the document type, like 2026-05-10-Paystub.pdf.

What is the best way to name loan documents?

Put the date first, then the plain document type, like 2026-05-10-Paystub.pdf or 2026-05-12-Bank-Statement.pdf. Files then sort in date order, and you can see what each one is and which is newest without opening it.

How can I tell what is missing from a loan file?

Open the loan’s folder next to your checklist for that loan type, such as paystub, bank statement, W-2, ID and appraisal. Anything on the checklist that is not in the folder is still outstanding and worth requesting.

Can Filex read documents that borrowers photograph on their phone?

Yes. Filex reads the text on photos and scans as well as PDFs. If a photo is too blurry to read the borrower’s name, you will need to file that one yourself.

Do borrowers need to name their files a certain way?

No. Borrowers can send documents with any name, such as IMG_4421.jpg or scan0031.pdf. Filex reads the page, finds the borrower and loan number, and names and files the document for you under the right loan.

Does this change my original documents?

No. Filex renames and files your documents according to the rule you describe, and shows you the result to check. It does not edit anything inside them, so the borrower’s paystubs, statements and IDs stay exactly as they were sent.

What documents go in a mortgage loan file?

It depends on the loan and the lender, but a typical file holds income documents like paystubs and W-2s, asset documents like bank statements, an ID, and property documents like the appraisal, title and insurance. Use your lender’s checklist.

How do I handle co-borrowers on one loan number?

Keep one folder for the loan, named for the primary borrower and the loan number, like Rivera-LN4471. Put the second borrower’s name in the file name, so both people’s paystubs and statements stay together and are easy to tell apart.
