Organize student
enrollment forms

During enrollment week, hundreds of forms come back as scans called scan0017.pdf.

The short answer

How do you organize student enrollment forms?

Organize enrollment forms with one folder for each student, and file every form for that student inside it. Name each file with the form type and the school year, like Health-Form-2026-27.pdf. This way one folder answers any question about a student, and you can compare it to your own required-forms list to see what a family has not returned.

  • One folder per student, not one per form type
  • File names say the form and the school year
  • Compare each folder to your required forms to find gaps

The problem

Which families still owe us a form?
You cannot chase what you cannot see.

The forms come back in one big pile.

Then a parent calls.

They say they sent the emergency contact form last week. You open files one by one to find out.

And a missing form turns into a problem.

A missing medical form or permission slip is a small thing until the day it is needed.

An unreadable pile costs your office hours in the busiest weeks of the year.

A missing emergency form costs far more.

How it works

Tell Filex how your office files forms. It files the whole batch.

Say how your office keeps student forms. Filex reads each scan and files it under the right student.

01

Upload the scans

Drop in the whole batch from the scanner. The files do not need names or to be in any order.

02

Filex reads and files each form

It finds the student’s name and the form type on the page, names the file clearly, and puts it in that student’s folder.

03

Check each student against your list

Open a student to see which forms are in, or ask which students have a health form on file. Then compare against your own required-forms list, because Filex does not know which forms you require.

What you get

Every student’s forms in one place,
ready when you need them.

Forms land under the right student, and you can pull up any student or form type by asking.

Students & families

Every form filed under its student, linked to the family.

Filex reads the student’s name and the parent or guardian on each form and links them. Open a student to see their whole record.

Groups

Every form for a student, or every form of one type, in one place.

Ask for “Ava Thompson’s forms” or “all health forms” and Filex gathers every match into one group. New forms join automatically.

Complete guide

The complete guide to organizing student enrollment forms

The folder setup for student forms

When someone asks about a student, you want one place to look. So give each student a folder and put everything about them inside it, whatever the form is.

Filing by form type feels tidy, but it makes the question that matters the hardest to answer: what do we have for this student? This page covers new-year intake. For records over time and for requests from other schools, see the Filex automation on organizing student records requests.

  • One folder per student, named by their full name
  • Every form for that student inside it, including mid-year transfers and late enrollments
  • Siblings who share a guardian get separate folders, so one child’s health form never sits in another’s file
  • Old school years moved to an archive when the year ends, following your district’s retention rules

What goes in an enrollment packet

Packets differ by district, so use your own list. Many include proof of residency, a birth certificate, an immunization record, emergency contacts, a home-language survey and a media release.

Health and emergency forms usually need tighter access than the rest, because they hold medical details about a child. Who can open them is your school’s decision. Filex files the scans, but it does not set permissions on your folders.

  • Write the packet as a checklist and keep it next to the scanner
  • Scan the whole packet for one student in a single pass where you can
  • Treat health and emergency forms as the most sensitive files

How to name enrollment forms

Start with the form type, then the school year. When the next year’s forms arrive, you can keep both and tell them apart at a glance.

Because the student’s name is already in the folder, you do not need it in every file name. If a guardian returns the same form twice, add a number, like Health-Form-2026-27-2.pdf, and delete the duplicate only once you have checked both.

  • Pattern: Health-Form-2026-27.pdf
  • Use the same form names every year
  • Never leave a scanner name like scan0017.pdf

How to find students with missing forms

Write down the forms every student must return. Then, for any student, compare the folder to the list. Anything on the list that is not in the folder is what you need to chase. Filex does not know which forms you require, so this comparison is yours to make.

Do this a week after forms are due, and again before school starts. It is far easier to remind a family in week one than in week ten. Some forms need a signature from both guardians, so check for those too.

How school offices handle enrollment week

Most offices run the August batch with the copier, a stack of separator sheets and a few extra hands. Scans come out as one long file per stack, and someone splits it into students afterwards.

The next step is a rule that files each scan by itself. Describe it in plain words, and Filex reads each form and files it.

  • By hand: scan stacks with separator sheets, then a volunteer renames each file at the front desk
  • Copier scan-to-folder: fast to set up, but every file still arrives as scan0017.pdf
  • A rule in Filex: say how your office files forms, then check the batch before you move on

What this won’t do with your enrollment forms

It files forms. It does not check that a form is filled in correctly, decide which forms your district requires, contact families, or keep track of who has paid fees. Scan quality matters too: a page that is blurry or cut off may not be readable, and you will need to file that one yourself.

It files forms from the day you turn it on. Cleaning up last year’s records is a separate job, and so is deciding who at your school may open the health folders.

Frequently asked questions

Answers about organize student enrollment forms

How should a school organize enrollment forms?

Make one folder for each student and keep every form for that student inside it. Name each file with the form type and the school year, like Health-Form-2026-27.pdf, so next year’s packet can sit beside it without confusion.

Should forms be filed by student or by form type?

By student. The question you get asked most is what you have for a particular student, and a student folder answers it in one place. If you ever need every health form, searching by form type in the file name will find them.

How can I tell which students are missing a form?

Compare each student’s folder to your own list of forms every student must return. Anything on the list that is not in the folder is still missing. Filex does not know which forms you require, so the list has to come from you.

Can Filex read scanned forms with handwriting?

Filex reads printed text well, and neat handwriting often works too. A child’s name written in small block capitals on a faded photocopy may not read reliably, so you will need to file that form yourself.

Do I have to scan one form at a time?

No. Scan in batches, and Filex reads each page. If forms are stapled together or scanned as one multi-form PDF, check the result, because Filex works best when each form has its own page or pages.

Does this change my original scans?

No. It renames and files copies of your scans according to your rule, and the pages inside are untouched. Keep the paper originals or your scanner’s output folder until you have checked a batch and your district allows you to discard them.

What about siblings or a form signed by one guardian?

Each child gets a separate folder, even when the guardian is the same. A form signed by only one guardian is filed like any other; whether it is acceptable is your office’s call. Filex does not judge signatures or completeness.
