Never miss a
certificate expiry

Forklift tickets, first aid cards, site safety and fire warden courses.

The short answer

How do you track employee certifications?

Keep one folder per employee and name each certificate with the course and its expiry date, like First-Aid-exp-2027-03-31.pdf. Then review anything expiring in the next 60 to 90 days once a month. With Filex, the expiry dates are read from the certificates themselves, so you do not retype them into a spreadsheet.

  • One folder per employee, one file per certificate
  • Expiry date in every file name, so the soonest sort first
  • A monthly look at what is coming due, with time to book training

The problem

Who is about to run out of certification?
You should be able to answer that in seconds, before the auditor or the site manager asks.

Cert tracker v3

Training 2025

Heights - copy

The dates live in a spreadsheet nobody trusts.

Someone typed them in once. Since then people have renewed, left, or changed roles, and the sheet does not say which certificate file the date came from.

Then one lapses without anyone noticing.

You find out at an audit, an inspection or when someone is told they cannot work the shift.

A lapsed forklift ticket or first aid card can get someone stood down mid-shift or blocked at a site induction, and it shows up in the next safety audit.

Finding out in advance costs a phone call.

Finding out late costs a lot more.

How it works

Upload the certificates. Filex reads the expiry dates.

Tell Filex how you want certificates filed. It reads each one and keeps the dates in view.

01

Upload certificates as they arrive

Drop in PDFs, scans and phone photos of cards and certificates. They do not need to be named or sorted first.

02

Filex reads and files each one

It finds the employee, the course and the expiry date, renames the file with them, and files it in that person’s folder.

03

See what is coming due

Ask “which certificates expire this month?” and get the list, each one linked to the certificate it came from.

What you get

Every certificate on file,
every expiry in view.

Certificates are filed under the right person, and the dates on them become a list you can act on.

Employees & courses

Each certificate filed under the person who holds it.

Filex reads the name, the course and the expiry date on each certificate and links them. Open an employee to see every certificate they hold.

Every certificate for a person, or for a course, in one place.

Ask for “everything for Daniel Ortiz” or “all first aid certificates” and Filex gathers every match into one group. New certificates join as they arrive.

Filex reads the expiry date on each certificate and lists what is coming due, with the certificate one tap away. Ask for what is expiring this month and book training while there is still time.

Complete guide

The complete guide to tracking employee certifications

The folder setup for certificates and training records

People hold certificates, and people change roles, so file by person first. One folder per employee, named surname then first name, keeps every certificate they hold together no matter which course or provider it came from.

Resist a folder per course at the top level. When you need everyone with a given certificate, a search or a group does that job better than a second copy of every file.

Agency and contractor workers are the awkward case. Decide who holds their certificates, you or the agency, and file a copy under the person either way so the site induction check has something to open.

  • One folder per employee, like Ortiz-Daniel
  • Certificates inside, one file per course
  • Leavers moved to an archive folder with the year they left
  • Agency workers filed under their own name, with the agency noted in the file

How to name certificates so the expiry date shows

Put the course first and the expiry date at the end, like First-Aid-exp-2026-11-30.pdf. The expiry date is the one you act on, and written year first it sorts correctly.

Some certificates never expire, and some state only the date of completion. Write what the document actually says, and keep the validity period you were told in your policy rather than guessing from the issue date.

A wallet card and the course certificate for the same course can show different dates. Keep both, name the card with the date printed on it, and note the training provider’s course ID so the two can be matched later.

  • Pattern: Course-exp-YYYY-MM-DD
  • No-expiry certificates: Course-issued-YYYY-MM-DD
  • Replace the file on renewal and keep the old one in a history subfolder
  • Keep the provider’s course ID in the file or its notes

Spotting lapses and gaps before an audit

A tracker has two jobs: show what is about to expire, and show who has no certificate at all. The second is easier to miss, because a missing document leaves nothing to sort by date.

A monthly rhythm works well. Look at everything expiring in the next 60 to 90 days, book the courses, and compare each role against the certificates it requires. Many courses have waiting lists, so a reminder with only a week to go is often too late.

Separate refresher certificates, like first aid or forklift, from one-time inductions that never lapse. Only the first group belongs on your expiry review.

  • Review upcoming expiries once a month, not once a year
  • List the certificates each role needs, then check each person against it
  • Note who is booked on a renewal course so the same person is not chased twice

How people usually automate this

Most HR and safety teams begin with a spreadsheet of names, courses and dates, often with conditional formatting that turns a row red as the date nears. Larger employers move to a learning management system or HR software with a training module. Both work, but someone still has to read each certificate and enter its date.

The weak point is the certificates that come from outside: a provider’s PDF or a photo of a card. Filex reads those directly, files them under the employee and lists the expiry dates, while your spreadsheet or HR system stays as the official record if you want it.

  • By hand: a training matrix in a spreadsheet, with cells turning red as a ticket nears expiry, and every date typed in from the card
  • Script: a reminder rule in your HR or LMS system, which only knows the courses booked through it, not the cards employees bring in
  • Plain-words rule in Filex: “File forklift, first aid and heights certificates by employee, with the expiry date in the name”

What this won’t do with your training records

It files certificates and reads the dates on them. It does not decide which certificates a job requires, tell you what the law or your insurer expects, or book training and email employees for you. It also needs the name and date to be readable, so a blurry card photo may need a quick look from you.

It works on the certificates you upload once the rule is set up. Digging out older paper records is a separate job.

Frequently asked questions

Answers about never miss a certificate expiry

What is the best way to track employee certifications?

Keep one folder per employee with one file per certificate, and put the expiry date in each file name. Then review everything expiring in the next 60 to 90 days every month. Name files like Course-exp-YYYY-MM-DD and move leavers to an archive folder so the live list stays short.

How do I track training expiry dates without a spreadsheet?

Filex reads the expiry date from each certificate you upload and keeps the dates in a list you can ask about. You can ask which certificates expire this month, and each result links to its file.

How far ahead should I be reminded about an expiring certificate?

Many teams look 60 to 90 days ahead, because courses fill up and some take days to complete. Pick a window based on how long renewal actually takes for your longest course. A first aid refresher with a three-week waiting list needs a longer window than a one-day site safety course.

Can Filex read certificate photos and wallet cards?

Yes, it reads text on photos and scans as well as PDFs. If the name or date is blurry, cut off or handwritten, it may not be read correctly and you should check that certificate yourself.

Will Filex tell me who has no certificate at all?

It can show you what is on file for each person, so you can ask who has first aid certificates and spot the names missing. You decide which certificates a role requires, since Filex does not know your rules.

Does this change my original certificates?

No. The scans and photos stay as the training provider issued them. Filex only changes the file name and the folder it sits in. A file called certificate.pdf becomes First-Aid-exp-2026-11-30.pdf, and nothing inside it changes.
