Every prior year return,
filed by taxpayer and tax year

Form 1040, 1120-S, 1065 returns, state filings, extension confirmations, and amended returns pile up in confusing drafts and client copies.

The short answer

How do you organize prior year tax returns for CPA firms?

Organize returns under client folders with standardized subfolders for each tax year (e.g., Miller_David/Tax_2025/). Name files using ISO syntax: YYYY-[FormType]-[Taxpayer]-[Status].pdf, such as 2025-Form1040-Miller-AsFiled.pdf. Store official IRS e-file acceptance acknowledgments directly alongside the filed return, and move draft computations to an archive folder once the return is submitted. Filex automates this by reading form numbers, tax years, taxpayer names, and filing acknowledgments from incoming PDFs.

  • Organize by Client Name/Entity with dedicated annual tax year subfolders
  • Distinguish as-filed final copies from preliminary client review drafts
  • Pair IRS and state e-file confirmation acknowledgments with the corresponding return

The problem

Tax season begins with hunting for last year’s return
Before preparing the current year return, preparers lose billable hours searching for prior year depreciation and carryforwards.

Draft copies get confused with the final as-filed return.

A client calls needing their prior year return for a mortgage application. Staff email a draft PDF from the desktop, only to discover later that depreciation schedules were modified before final e-filing.

Missing e-file acknowledgments leave filing proof uncertain.

When state tax authorities question a timely filing date, locating the electronic postmark acknowledgment requires digging through separate software archives.

Sending inaccurate draft returns to lenders or tax authorities creates malpractice liability and client distrust.

Keeping verified as-filed returns organized ensures instant retrieval during audits, bank underwriting, and tax season preparation.

How it works

Upload tax returns. Filex organizes and indexes your complete return library.

From federal Form 1040 to state multi-entity filings, Filex extracts forms, years, and taxpayer entities.

01

Upload return PDFs

Drop in completed returns, client copies, extension filings, and e-file acceptance notices from your tax preparation software.

02

Filex extracts tax metadata

It recognizes form type (1040, 1120, 1065, 990), tax year, primary taxpayer/entity name, filing status (Original As-Filed, Amended, Draft), and e-file confirmations.

03

Filed into client annual archives

Returns are filed chronologically under Client/TaxYear with standardized naming that makes version confusion impossible.

What you get

Audit-ready prior year tax records,
accessible in seconds during busy season.

Keep your client tax returns, extension proofs, and e-file confirmations filed cleanly by year.

Taxpayers & entities

Complete guide

The complete guide to organizing prior year tax returns

Standardized folder architecture for CPA client tax files

Organize client folders by Taxpayer Name at the root, with separate primary folders for individual vs. business entities. Storing personal and corporate returns in the same folder causes confusion when preparing pass-through schedules (K-1s).

Inside each entity folder, establish annual folders (e.g., Tax_2025/, Tax_2024/). Within each year, maintain three standard files: the As-Filed Return, the E-File Acceptance Acknowledgement, and the Final Client Letter.

  • Top level: [ClientLastName_FirstName] or [BusinessEntityName]
  • Annual subfolders: [Tax_YYYY] (e.g. Tax_2025, Tax_2024)
  • Subdirectories: As-Filed Returns, E-File Confirmations, Source Workpapers

File naming rules for tax return versions

Clear filenames distinguish preliminary review drafts from enforceable as-filed returns. Always use the tax year as the first four digits of the file name.

Use the standardized syntax: YYYY-[FormType]-[Taxpayer]-[Status].pdf. Example: 2025-Form1040-Miller-AsFiled.pdf.

  • Status tags: AsFiled, ClientCopy, DraftReview, Amended, ExtensionForm4868
  • Always include form number: Form1040, Form1120S, Form1065, Form990
  • Append eFileAck to electronic submission confirmation PDFs

Tax return document retention schedules

Under IRS regulations, tax returns and supporting records must generally be retained for 3 years from the date filed or 2 years from payment, whichever is later.

For business entities, CPAs recommend retaining final returns indefinitely, while supporting receipts and workpapers are retained for 7 years.

  • Keep as-filed tax returns and e-file confirmations permanently in digital archive
  • Retain 1099s, W-2s, and workpapers for a minimum of 7 years
  • Retain property and asset purchase documents until 7 years after the property is sold

Frequently asked questions

Answers about every prior year return, filed by taxpayer and tax year

How does Filex differentiate an as-filed return from a draft copy?

Filex inspects document watermarks, signature blocks, e-file status stamps, and accompanying IRS submission acceptance acknowledgments to classify whether a return is final as-filed or preliminary.

Does Filex support both individual and business tax returns?

Yes. Filex supports individual returns (Form 1040, 1040-SR, 1040-NR), corporate returns (Form 1120, 1120-S), partnership returns (Form 1065), fiduciary returns (Form 1041), and non-profit filings (Form 990).

Can Filex organize state tax returns as well as federal?

Yes. Filex identifies state department of revenue headers and forms (such as California Form 540, New York IT-201), organizing state filings beside federal copies.

Where are our client tax files stored?

Filex organizes documents directly inside your firm’s secure cloud storage (Google Drive, Microsoft OneDrive, SharePoint, Box, or on-premises servers), adhering strictly to CPA client confidentiality standards.

Tax preparers

Collect every tax form, without chasing through email

Create an intake folder for each tax client under the current tax year (e.g., Client_Intake_2026/Vance_Marcus/). Name files systematically as [Taxpayer]-[FormType]-[Issuer]-[Year].pdf, like Vance-Marcus-W2-Stripe-2026.pdf. Cross-reference received documents against the prior year’s tax organizer checklist to immediately flag missing forms before starting prep. Filex automates this by reading form numbers, employer/issuer names, taxpayer SSN suffixes, and tax years from incoming uploads, filing them directly into the client’s annual intake folder.

Tax workpapers in three buckets

Create one folder per client and tax year, then split it into three: Source for documents exactly as the client sent them, Workpapers for your own schedules and notes, and Deliverables for what you sent back. Keeping the three apart means a reviewer can tell original evidence from your work at a glance.

Mortgage

Collect every borrower document, filed into their loan package

Inside, create five standard underwriting subdirectories: 01_Application_Credit, 02_Income_W2_Paystubs, 03_Assets_BankStatements, 04_Property_Insurance, and 05_Underwriting_Conditions. Name files as [Borrower]-[DocType]-[PeriodDate].pdf, such as Alvarez-Paystub-2026-09-30.pdf.
