One file per driver,
ready when asked

Applications, license copies, medical cards and MVRs arrive from everywhere and end up everywhere.

The short answer

How do you organize driver qualification files?

Keep one folder per driver, named by last name and license number, holding that driver’s application, license copy, medical card, motor vehicle record (MVR) and road test. Start each file name with its date and type, like 2024-03-05-Medical-Card.pdf. A quick look then shows what is on file and which dates are coming due.

  • One folder per driver, named by name and license number
  • Date first in every file name, then the document type
  • Check each folder against your list, and note every expiry date

The problem

Can you put your hands on this driver’s file today?
Not tomorrow, and not after a call to the driver.

Driver paperwork shows up in every shape.

A phone photo of a medical card, a scanned application, an MVR emailed as “report”. None of it says which driver it belongs to.

Then someone asks to see a file.

An insurer, a broker or an auditor wants a driver’s documents. You know most of it exists. You do not know where.

And a date quietly goes by.

A medical card runs out in a folder nobody opened. The first you hear of it is when the driver is already on a load.

A missing or out-of-date document turns a routine request into a scramble, and a driver may have to wait while you sort it out.

A tidy file makes the question easy to answer.

How it works

Tell Filex how a driver file is set up. It files every document.

Describe your folder rule once in plain words. Filex reads each page and files it under the right driver.

01

Upload what you collect

Drop in applications, license copies, medical cards, MVRs and phone photos. They do not need to be named first.

02

Filex reads and files each page

It finds the driver’s name and license number, names the file with its date and type, and files it in that driver’s folder.

03

Open a driver, or ask what is due

Ask for “everything for Luis Ortega” or “medical cards expiring this quarter” and get the answer with the files attached.

What you get

Every driver file in order,
and the dates in view.

Documents land in the right driver’s folder, and you can ask for a driver or a document type and see it at once.

Drivers

Every page filed under its driver, linked to the license it came from.

Filex reads the driver’s name and license number on each document and links them. Open a driver to see everything that belongs to them.

  • Driver: Luis Ortega
  • Examiner: Dr. Anita Rao
  • License no. D4471823:

Groups

Every document for a driver, or every card of one type, in one place.

Ask for “everything for Luis Ortega” or “all current MVRs” and Filex gathers each match into one group. New documents join as you upload them.

Reminders

See the dates coming due before anyone asks

Medical cards, licenses and yearly MVRs all carry dates. Filex reads them from the documents and lists them in the app ahead of time, with the file one tap away.

Complete guide

The complete guide to organizing driver qualification files

The folder setup for a driver file

The driver is the unit of work, so make the driver the unit of your folders. One folder per driver, named with the last name and license number, so two drivers called Garcia never share a drawer.

Split by status first, not by document type. Keep an Active folder and a Former folder, and move a driver across when they leave. Inside each driver folder, a flat list of well-named files beats a tree of subfolders that nobody maintains.

  • Folder name: last name, first name and license number, like Ortega-Luis-D4471823
  • Active and Former drivers kept apart
  • Applicants who were never hired in their own folder, so they do not clutter the rest

How to name driver documents

Start with the document’s own date, then the type. For a medical card, use the date the card was issued, not the day you scanned it, so the newest card sorts last and the oldest is easy to retire.

Keep the type vocabulary short and the same for everyone. If one person writes “Med Card” and another “DOT physical”, searches miss half the folder.

  • Pattern: 2024-03-05-Medical-Card.pdf
  • A short fixed list of types: Application, CDL-Copy, Medical-Card, MVR, Road-Test. Keep drug and alcohol test results in a separate, restricted folder
  • Photos of both sides of a card go in as two files: -Front and -Back

What an auditor or insurer tends to ask for

Under FMCSA’s driver qualification rules (49 CFR Part 391), carriers keep a qualification file per driver, and requests are usually for the same handful of things: the application, a license copy, a current Medical Examiner’s Certificate (the DOT medical card), a recent MVR, and evidence the road test or equivalent was done. What exactly your fleet needs depends on your operation, so check the current rules or ask your insurer, and write the list down.

Once you have that list, open each driver folder next to it. Anything on the list that is not in the folder is the gap, and the dates in the file names tell you which items are old. A tidy file helps you find what is asked for. It does not decide whether you meet a rule.

  • One written checklist per driver type, kept next to the folders
  • Review every driver once a quarter against the list
  • Note the expiry date of each card or license in the same place every time

How trucking fleets usually keep driver files

Many small fleets run on a spreadsheet of CDL and medical card dates plus a shared drive that one safety person keeps in order. It holds until that person is out or the fleet outgrows a couple of dozen trucks. Bigger carriers buy a driver management or compliance service, which is thorough but often more setup than a small office wants.

Owner-operators and leased drivers add a wrinkle: their papers arrive from the driver, not from HR, and applicants who never start still leave paperwork behind. With Filex you describe the folder rule once, upload what you have, and it files each page and lists the dates it finds.

  • By hand: a Friday pass over the dispatch inbox and a spreadsheet of CDL and medical card dates
  • Script: a macro or folder rule that renames scans by driver number, which breaks when a phone photo has no name
  • Plain-words rule in Filex: “file by driver, name and license number” and check the result

What this won’t do with your driver files

It files documents and reads dates. Whether a driver is qualified, a medical card or MVR is acceptable, or your fleet meets FMCSA rules is a call for you or a compliance professional. Filex also does not contact drivers, order MVRs or check the Clearinghouse for you.

It needs the driver’s name or license number to be readable on the page, so a blurry card photo may need a quick look from you. It files documents from the day you start, so older paperwork is a separate cleanup.

Frequently asked questions

Answers about one file per driver, ready when asked

How do I organize a driver qualification file?

Keep one folder per driver, named with the last name and license number. Put the application, license copy, medical card, MVR and road test inside, each named with its date and type.

What goes in a driver qualification file?

Commonly an application, license copy, medical card, motor vehicle record and road test or equivalent. The exact list depends on your operation, so confirm it against the current rules or ask your insurer.

How do I track when medical cards expire?

Record the expiry date of every card in one place and review it on a schedule. Filex can read the date from the card and list it ahead of time in the app, so you do not rely on remembering.

How often should I review driver files?

A quarterly review of every file is common, plus a check whenever a card or MVR comes due. Compare each folder to your checklist and note what is missing or old.

Can Filex read a phone photo of a medical card?

Yes, if the text is clear. It reads photos and scans as well as PDFs. A blurry or cropped card may not be readable, and you will need to file that one yourself.

Will Filex change the documents I upload?

It only changes names and locations. The contents of every card, report and form stay exactly as you uploaded them, so you can still hand over the original if someone asks.

How long do you keep a driver qualification file?

Retention periods are set by the rules that apply to your operation, and they can differ for different documents. Check the current FMCSA rules or ask your insurer, and write the answer on your checklist.

Do owner-operators need a driver qualification file?

It depends on how they work with you. A leased owner-operator driving under your authority is often treated like any other driver, but confirm with the current FMCSA rules or your insurer before deciding.

What is an MVR?

An MVR is a motor vehicle record, the report of a driver’s license status and violations. Fleets usually pull one when hiring and then on a regular schedule, and file it in that driver’s folder.
